Warranty Administrator – Role Purpose
• Maintain warranty documentation and ensure full compliance with manufacturer warranty standards.
• Process all warranty claims using the appropriate systems.
• Update the warranty register, recording all claims submitted and credits received.
• Apply for goodwill or prior approval authority codes where required.
• Monitor all claims, correct any discrepancies, and liaise with the manufacturer when necessary.
• Notify the Parts Department regarding any returnable parts.
• Discuss any rejected claims with the Service Manager.
• Highlight and review any shortfalls or overpayments with the Service Manager.
• Carry out documented self-audits every quarter and review findings and corrective actions with the Service Manager.
• In the event of a recall, contact all customers listed on the recall register, follow up where required, and update the register once completed.
• Compile and prepare monthly warranty reports.
Skills Required
• A full, clean driving licence
• Strong attention to detail and the ability to stay focused on tasks
• Strong IT literacy
• Motivation, teamwork, and excellent interpersonal skills
• Good written and verbal communication skills
• Professional appearance and presentation suitable for a franchise environment
• Excellent organisational and time-management skills
• Ability to accurately record and manage relevant information
• Ability to understand technical information and explain it clearly to customers when required
